Exelarm Security & Communications — Privacy Policy

1. Introduction

Exelarm Security & Communications provides monitored security, communication, and safety systems for construction, commercial, and residential sites, including our AlarmCircle app and Control Room Webpage. This Privacy Policy explains how we collect, use, store, and disclose personal information in connection with our products and services, and applies to anyone whose information is collected through our systems — including client organisations, site personnel, and app users.

We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Personal Information We Collect

Depending on which Exelarm systems are deployed on your site, we may collect:

  • Contact and account information — names, phone numbers, email addresses, and employer details for site managers, WHS personnel, and monitored individuals.
  • Location information — GPS and location-tagging data generated by the Tagger device, including SafeZone settings and location history.
  • Video and image data — footage captured by iSmart Site & Crane Video Alarm Cameras, including clips triggered by human-figure detection.
  • Alarm and activation data — records of Nursecall, evacuation, duress, and security/smoke/fire activations, including time, location, and responder details.
  • App and webpage usage data — login activity, device information, and interaction data from the AlarmCircle app and Control Room Webpage.
  • Monitoring centre records — logs generated through our back-to-base monitoring service.

3. How We Collect Personal Information

We collect personal information:

  • Directly from client organisations during system installation, commissioning, and account setup;
  • Automatically, through devices and sensors installed on site (e.g., cameras, Tagger units, Nursecall stations);
  • Through use of the AlarmCircle app or Control Room Webpage; and
  • From our monitoring centre in the course of responding to alarms and activations.

Where a client organisation provides us with personal information about its workers or site personnel (for example, to configure Tagger or Nursecall), the client is responsible for notifying those individuals that their information will be collected and monitored by Exelarm in connection with site safety systems.

4. How We Use Personal Information

We use personal information to:

  • Provide, operate, and maintain our security, communication, and monitoring systems;
  • Respond to alarms, duress activations, and evacuation events, including dispatching our monitoring centre or emergency services;
  • Enable client organisations (including Senior Project Managers and CEOs) to view site status and activity via the AlarmCircle app;
  • Generate history reports, site tests, and monitoring commissioning records accessible via the Control Room Webpage;
  • Maintain, troubleshoot, and improve our products and services; and
  • Meet legal, regulatory, and Work Health & Safety obligations.

5. Location Data

Where Tagger or similar location-based features are in use:

  • Location tagging operates on an adjustable interval (e.g., every 2 hours) designed to balance worker safety with personal privacy, rather than continuous real-time tracking.
  • Location data is accessible only to authorised personnel within the client organisation and our monitoring centre.
  • Silent SOS and duress activations may temporarily override standard tagging settings to enable an emergency response.
  • Individuals with questions about how their location data is used should raise these with their employer (the Exelarm client) or contact us directly using the details below.

6. Video Surveillance

Where iSmart cameras are installed:

  • Cameras are configured to activate on detection of a human figure, rather than recording continuously.
  • Footage is used for site security, incident response, and may be provided as evidence in the event of an intrusion, incident, or dispute.
  • Footage is retained only for as long as reasonably necessary for these purposes, after which it is securely deleted.
  • Site signage or other notice should be used by client organisations to inform workers and visitors that video monitoring is in operation.

7. Disclosure of Personal Information

We may disclose personal information to:

  • The client organisation that operates the relevant site (including designated managers and executives);
  • Our monitoring centre, for the purpose of responding to alarms and activations;
  • Emergency services, where an evacuation, duress, or security alert requires it;
  • IT and hosting providers who support the AlarmCircle app and Control Room Webpage; and
  • Regulators or authorities, where required by law.

We do not sell personal information to third parties.

8. Data Storage and Security

We store personal information using reasonable technical and organisational measures designed to protect it from misuse, loss, and unauthorised access. Alarm records, location logs, and video footage are retained only for as long as necessary for the purposes described in this policy, or as required by law, before being securely deleted or de-identified.

9. Access, Correction, and Complaints

Individuals may request access to, or correction of, their personal information, or raise a complaint about how it has been handled, by contacting us using the details below. We will respond within a reasonable timeframe and in accordance with our obligations under the Privacy Act.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
